My printer won’t print. Let’s diagnose it.

Printers can be a pain. Start with one useful test and narrow down whether the problem is in the printer, computer, queue or network.

Start at the printer

Printers can be a pain. Before changing Windows settings, ask the printer to print its own status or configuration page from its control panel. This takes the computer out of the test.

Can it print its own page?

Yes

The paper path and basic printing mechanism work. Now compare computers and applications.

No

Read the display for a jam, empty tray, open door or cartridge error. Resolve that first; Windows cannot fix a printer that cannot print independently.

Compare another computer

If another office computer uses the same printer, send a small test job from it.

Can another computer print?

Yes

Concentrate on the original computer: selected printer, application, queue, connection and driver.

No

Check what everyone shares: the printer connection, its address, a shared queue or a print server.

Watch the queue

On the affected PC, open the correct printer queue and print a few words from Notepad. Watch whether the job appears.

  • Nothing appears: confirm the application selected the intended printer, not PDF or an old duplicate.
  • It stays in the queue: record its status, such as Offline, Paused or Error. Check the connection before clearing anything.
  • It disappears: Windows handed the job off, but that alone does not prove it printed. Check the printer display and configured port.

If Notepad prints but your original application does not, focus on that application or document.

Check the connection, then the driver

For a network printer, compare the address shown on its configuration page with the address configured on the PC. If the printer has a web page, try opening that address from the affected computer. A web page that opens proves some network communication, but does not prove the print port or driver is correct.

Only after these comparisons should you consider changing the port or driver. Record the current setting, change one thing, and print the same test again.

Changed the toner just before this?

Timing is evidence. Confirm the cartridge model, remove all protective packaging, and note any supply error. If it is safe and available, briefly reinstalling the old cartridge is a useful comparison. If it prints with the old one, the new cartridge may be defective or incompatible.

What to tell us

Send the printer model, display error, whether it prints its own page, whether another PC prints, what happens to the queue, whether Notepad prints, and what changed just before the problem. A photo of the display or queue helps. We can pick up from the branch you reached.
